Purpose:

The purpose of this role is to maintain electronic medical records per HIPAA and process requirements, monitor the electronic telephony system and troubleshoot exceptions in coordination with scheduling, nursing and accounting.

Required Education & Experience:         

  • High School Graduate with A.A. Degree in Office Administration preferred
  • 2+ years experience working in an office setting in an administrative role, preferably in a healthcare environment
  • Strong computer experience (MS Office, Database management, etc.) including working within multiple computer applications at the same time; or an equivalent combination of education and experience sufficient to successfully perform the duties of the position

Essential Job Duties:

  1. Maintain medical records by sorting and recording receipt of medical documentation per process requirements
  2. Track missing documentation
  3. Review documentation for completeness, identify discrepancies and/or missing information
  4. Follow-up with caregivers to ensure completion and collection of documentation
  5. Electronically file/maintain medical documentation per process requirements—this includes evaluating process issues and recommending and implementing any approved changes to resolve those issues
  6. Audit medical documentation including insurance paperwork per client plan service requirements
  7. Work closely with the Insurance Coordinator to ensure medical records documentation meets insurance company or veteran’s administration requirements. This includes learning about and staying current with the requirements of individual insurance companies and the veteran’s administration
  8. Support training of caregivers and office staff on use of latest technologies for documentation
  9. Backup for the maintenance of nursing and EMR supplies for the Sarasota office/copy room/outer offices including ordering and tracking of supplies, so they are received in a timely manner utilizing cost effectiveness
  10. Backup for Nursing Coordinator tasks including, but not limited to:
    1. Process and track client POCs (plan of care), physician correspondence, discharges, and other support/compliance documentation as required
    2. Tracking and ordering nursing supplies to ensure adequate supplies are on hand and purchases remain within budgetary guidelines
    3. Process, monitor and produce an adequate supply of client admission packets for SRQ Nurses; ensure consistency across all nursing functions
  11. Backup for Front Desk Coordinator as needed
  12. Other administrative office duties as assigned
